Optimize your anomaly management

Defect management

1. The presentation of the use case : Anomaly Management

This use case is intended for all types of operators and/or service providers.

The management of anomalies, non-conformities, defects or reservations is critical for industrial companies. Whether it is on your production lines, your equipment or your construction sites, anomalies are omnipresent.

When an anomaly appears, it must be reported as soon as possible. Reactivity is one of the fundamental elements in the management and resolution of an anomaly. For this, it is necessary to be able to easily detect non-conformities, to report them and to treat them as soon as possible.

With Ermeo :

  • Easily declare, on the move, all the anomalies that operators identify during their work, with all the necessary information: criticality, comments, photos, geolocation, etc.
  • Get a complete view on the status of all anomalies: are they being taken into account? Is a correction planned?
  • You are notified if the threshold of the number of non-conformities is exceeded or if the date of consideration is exceeded.
  • Give your operators the means to easily remove reservations by displaying them a list of all anomalies with planned closure dates and corrective actions to be taken.
  • Your operators will produce their report in a few seconds with all the information you need: time spent, remarks identified, etc.

Our customers ask Ermeo to cover awide variety of usecasesin all operational departments of the company.
Anomaly management is one of them.

With Ermeo you can:

  • Covering as many use cases
  •   Integrate as many forms
  •   Manage as much equipment as you want

Our clients, who use Ermeo to manage anomalies, have told us that they impact, to a greater or lesser extent, 3 major business issues:

Firstly, safety.
For example, if an operator sees an oil leak, or a disconnected electrical cable, this could be an accident risk for another person. If he reports it the moment he sees it and the team leader decides to deal with it quickly, this will prevent the accident.

Secondly, Ermeo makes it easy and efficient to deal with an anomaly. This has a direct impact on the downtime of your equipment and therefore on your costs and margins.

With Ermeo, it is very easy to characterise a non-conformity and therefore to immediately implement the right action plan to lift the reservation. You can therefore act directly on the availability rate of your equipment.

Enfinally, because Ermeo allows all anomalies to be traced and the data collected to be easily exploited, managers have better visibility of the equipment with the most anomalies and therefore the most critical equipment. You will therefore be able to better manage your resources, whether material or human.

2. Demonstration of Defect management with Ermeo

Ermeo is composed of two tools:

On the one hand, an operational tool, the mobile application for technicians, which will allow them to :

  • Identify anomalies, discrepancies.
  • Carry out interventions to close anomalies following corrective actions.

On the other hand, a supervision tool: the web platform for supervisors. It will allow them to :

  • Tracking of defects, non-conformities reported.
  • Associate action plans to anomalies and modify their status according to the criticality level of the anomalies.

For the Defect managementt use case, we will focus on 3 functionalities of the Ermeo solution.

Pre-filling of values Pre-filling of values: the technician saves a lot of time because information such as the date, the site address or the equipment is automatically filled in on the application. This feature is a real time saver for the technician.

Automatic generation of dashboards The dashboard gives the team leader a better visibility on the anomalies noted by the field operators, on their type, their criticality. This will enable them to make the right decisions.

Automatic update At each intervention closure, the status of anomalies and the values of deviations are updated.

Example of anomaly: Leak on an equipment

Before digitisation, the technician would fill in a paper sheet with the various information. At the end of the day, he would return this information to produce an information report. This could cause various problems: loss of information, poor traceability of information.

Now, with the Ermeo application, to find a piece of equipment, the technician scans the barcode or enters the serial number of the equipment. Thanks to this, he has access to a 360 view of the equipment (status of the equipment, upcoming interventions) and to associated documents. The advantage for the technician is that he can access the information quickly and is relieved of all kinds of paperwork.

It is automatically possible for the technician to identify an anomaly. The application will collect all the information he needs from the databases.

Then the technician can take a picture of the anomaly with the possibility of annotating it, so that his supervisor can easily understand the problem. He can also provide a description of the problem.

The technician then enters several pieces of information:

  • The anomaly typology, this allows the supervisor to group the anomalies by type
  • The level of criticality
  • The answer to the question: continued operation, yes or no
Defect management. Mobile Application

At the end of the form , a desired closing date appears. This date is automatically calculated according to the level of criticality and the typology.

From the web platform, supervisors can have a complete view of the status of all anomalies: taken into account, planned correction, etc. They can receive notifications throughout their processing.

Supervisors can also plan a two-click intervention on one of the technicians to complete the intervention.

With Ermeo a lot of information and data is collected and stored in databases.

You can connect Ermeo databases to dashboards.

Example of an anomaly management dashboard

Defect managementdashboard

This is a generic dashboard that we have created and that we can make available to our clients. On this dashboard there are all the anomalies: processed, unprocessed, in process etc.

The dashboards provide a 360° view of the anomalies and the information can be filtered. For example, it is possible to view anomalies by criticality level.

This gives an overview of the performance of the teams, enabling better planning and better allocation of resources. The dashboards also make it possible to geolocate anomalies.

In short, the information is automatically fed back from Ermeo to these dashboards. The dashboards provide a relevant analysis of the current effort and allow future efforts to be planned in order to better allocate resources.

3. The results obtained by our customers during their defect management

Ermeo makes it easy to declare and characterize an anomaly and to not forget any information. There is less risk of having to come back to the equipment because the operator did not properly characterize the non-conformity.

Ermeo thus reduces the number of re-interventions by an average of 70%.

The technician who will deal with the non-conformity will have all the necessary information at his disposal. Therefore, he will be more efficient and lift the reserve more quickly.

Ermeo reduces the time spent by a technician on a site by an average of 25% and ensures much higher quality interventions.

Also, the technician will no longer have to do any reporting, as Ermeo automatically generates the reserve survey report with all the information he has entered. There is no more time wasted in consolidating all the reservations in a single report that you may have to send monthly. There is also no more loss of information due to re-keying and your data will be reliable and analysable.
Therefore, Ermeo completely eliminates re-keying time and errors. All of this leads to an average 20% increase in team productivity.

4. Learn more about the Ermeo solution

The solution is deployed at more than 45 industrial customers. Our customers are mainly distributed in 5 sectors of activity:

  • Transportation
  • Energy
  • Construction & Building & Public Works
  • The inspection
  • Manufacturing

Ermeo was born out of the observation that we make in almost all industrial companies.

The activity of operators in the field is increasingly critical and can have significant consequences on the financial performance of the company.

In discussions with our customers, we realized that the activity of the technicians was under-digitalized.

Field operators:

  • Print their checklists or processes.
  • Do the reporting manually, potentially making mistakes.
  • Don't have access to the information they need.

For example, when dealing with a non-compliance :

A technician arrives at the equipment. He takes out his paper checklist. He does not necessarily have the details of the fault to be treated (he may need the history of interventions on this equipment for example). He may find it difficult to remove the fault. If he has to change a part, he will probably not have the associated operating procedure available.

Team leaders, in turn, lack traceability and reliability in the data reported to them.

Indeed, from time to time, the technician does not report all anomalies to the manager. The file remains on his desk or in his pigeonhole. And so anomalies or non-conformities that should be dealt with are overlooked.

And among those that are well transmitted to the team leader, some information will be missing and it will be difficult to characterise and therefore prioritise them.

So how do we simplify these procedures?

Ermeo, the mobile solution that digitizes all procedures and documents for the field.

With Ermeo, we allow technicians to focus on the high value-added tasks of their job, to automate all activities and actions that can be automated (such as reporting for example).

We provide them with a mobile application from which they will be able to carry out all their activities: from the preparation of interventions, through the execution of work orders to the daily report.

They will also be guided through each step of their procedure and will automatically have access to the right information at the right time (Documents, Intervention History, Data associated with the intervention and the equipment, etc.).

They will also be able to report and close any type of anomaly directly from the mobile application.

Technicians will also be freed from paper handling, which is often tedious on site or at the construction site (rain, dirty or greasy environment etc...).

Team leaders have a complete and up-to-date view of the follow-up of interventions, anomalies and the status of the equipment fleet.

Ermeo consolidates all the data entered by the field teams and updates your business software (e.g. ERP, CMMS, CRM, etc.) in real time.

With Ermeo, optimise and prioritise your investments and make better decisions.
